Free Property Rental Guidance and Support From Marbella Lettings
Hiring a car at Málaga Airport is something thousands of people do every year — and for many property owners and regular visitors to Marbella and the Costa del Sol, it is simply part of the routine.
You land. You collect the car. You programme the sat-nav. You head to Marbella.
Most of the time, everything goes exactly as it should.
But there is one simple habit that we strongly recommend to every client who regularly travels between the UK and Spain and hires a car at Málaga Airport.
Before you drive away — take photographs and video of the entire vehicle.
It takes three to five minutes. It costs nothing. And as we recently saw through a real experience involving one of our own clients, it could potentially protect you from a dispute involving more than €1,500.
A Real Situation — One of Our Marbella Clients
At Marbella Lettings, we work with landlords and property owners from across the UK, Ireland, Scandinavia and beyond — people who travel regularly to Marbella to visit their property, check on their investment or meet with us about their rental arrangements.
One of our clients flies into Málaga Airport approximately once a month. He has been hiring a car from the same company for years. The process is familiar, the staff know him and returns have always been straightforward.
On one particular occasion, the circumstances were different.
He had an early morning flight home. The car hire office was closed. He followed the company’s out-of-hours return procedure — parked the vehicle, returned the keys as instructed, and left for the terminal.
As far as he was concerned, everything was fine.
Several hours later, an email arrived.
The car rental company was claiming damage to the vehicle. The amount being claimed was more than €1,500.
Fortunately, this particular client had done something extremely important when he collected the car.
He had taken photographs and video.
When the claim arrived, he was able to refer back to that documentation. It showed the condition of the vehicle at the moment he collected it — before he drove a single mile. The photographs and video did not simply help his memory. They provided concrete, timestamped evidence of what the car looked like when it was handed to him.
That changed the entire conversation.
Why Out-of-Hours Returns Make Documentation Even More Important
When you return a hire car during normal opening hours, there is usually a member of staff present. You can walk around the vehicle together. If there is a scratch or a dent, you can discuss it there and then. Both parties can agree on what is and is not present.
An out-of-hours return removes that opportunity entirely.
You park the car. You put the keys in the drop box. You leave. The vehicle is then inspected without you present. You have no way of knowing exactly when that inspection happens or precisely what it finds.
In that situation, your collection photographs and video become your only evidence of the vehicle’s condition when it was in your possession.
This is not about suggesting that car hire companies are dishonest. The overwhelming majority of car hire transactions — at Málaga Airport and everywhere else — take place without any dispute whatsoever.
It is simply about recognising that when you return a vehicle without a member of staff present, the only documentation you have is what you created yourself.
What to Photograph When You Collect a Hire Car at Málaga Airport
The photographs need to be thorough. A single image of the front of the car is not sufficient. Here is what to cover:
Exterior:
Both sides of the vehicle in full, the front bumper, the rear bumper, all four corners, both wing mirrors, all four doors, the bonnet, the boot, the roof, the windscreen, all windows, headlights, rear lights, all four wheels including the alloys and tyres, and any existing scratches, dents, scuffs or marks — both close up and in the context of the surrounding panel.
Interior:
The dashboard, front seats, rear seats, centre console, boot area, and the floor in the front and rear.
Instruments:
The mileage reading and the fuel level gauge.
The mileage photograph is particularly useful. It confirms both when the vehicle was documented and what the recorded distance was at the point of collection.
Take Video as Well as Photographs
Once you have taken your photographs, take a short walk-around video.
Start at the front of the vehicle and walk slowly around the entire car — front, driver’s side, rear, passenger side and back to the front. Then briefly film the interior.
Video provides something photographs cannot — continuous context. A photograph shows a scratch. A video shows the scratch in relation to the surrounding panel, the rest of the door, the rest of the side of the car. It is harder to argue that a video has been selectively framed or has missed something significant.
Together, photographs and video create a far stronger record than either alone.
Your Smartphone Creates a Timestamped Record
One of the advantages of using your smartphone to document the vehicle is that photographs and videos typically contain metadata — date, time, location and device information embedded in the original file.
This means the original files on your phone can serve as evidence of when the documentation was created.
For this reason, keep the original files exactly as they were taken. Do not apply filters. Do not crop them. Do not edit them. If you need to send copies to the rental company, send copies and keep the originals backed up safely.
The closer in time the photographs are to the actual moment of collection, the more useful they can be in establishing an accurate timeline.
What to Do if the Car Already Has Existing Damage
Rental vehicles are used by many different drivers. It is entirely normal for a hire car to have existing minor damage — a small scratch, a stone chip, a scuffed alloy, a paint mark, interior wear.
Some existing damage will already be recorded on the rental company’s condition report.
Check that report carefully before accepting the vehicle. If you notice damage that is not recorded, raise it with a member of the rental company’s staff before you drive away. Ask them to add it to the condition report.
And regardless of what is on the paperwork — take your own photographs and video anyway.
The condition report is the rental company’s record. Your photographs and video are yours.
The Simple Málaga Airport Car Hire Checklist
Here is what we now recommend to every client who regularly hires a car at Málaga Airport:
One — Walk around the entire vehicle before getting in. Look at every panel, every corner, every wheel.
Two — Photograph all four sides of the vehicle in full.
Three — Photograph any existing damage in close-up and in context.
Four — Photograph all four wheels including alloys and tyres.
Five — Photograph the interior including dashboard, seats and boot.
Six — Photograph the mileage and fuel level.
Seven — Take a complete walk-around video, slowly and continuously.
Eight — Keep all original files — do not delete, edit or filter them.
Nine — Keep your rental agreement, collection paperwork and any condition report together with your photographs.
Ten — If returning out of hours, repeat the photography process when you park the vehicle for return.
Why This Matters So Much for Marbella Property Owners
For someone who visits Marbella once, this is a useful travel tip.
For property owners, investors and regular visitors who fly through Málaga Airport multiple times a year — sometimes every few weeks — it is something more important than that.
Marbella Lettings are long term property rental specialists in Marbella, and many of the landlords and property owners we work with travel regularly between the UK and Spain. Some own apartments in Nueva Andalucía or Guadalmina. Some have properties in San Pedro de Alcántara or Puerto Banús. Others visit regularly to manage their investment or meet their tenants.
For all of them, hiring a car at Málaga Airport is a routine part of visiting their property.
Making the documentation of that hire car an equally routine three to five minutes is a simple habit that costs nothing and could, as our client’s experience demonstrated, make a very significant difference.
The rule is simple: photograph first. Drive second.
Get your luggage into the car. Walk around it with your phone. Take the photographs. Take the video. Check the fuel and mileage. Check the paperwork.
Then drive to Marbella.
Those few minutes before you leave the car park could save you a very unpleasant conversation later.
What to Do If a Claim Is Made Against You
If a car hire company contacts you about alleged damage, do not simply accept the claim without reviewing your evidence.
Go back through your collection photographs and video. Compare what you documented at collection with what is being alleged. If the damage is clearly visible in your original collection photographs, you have something concrete to discuss with the rental company.
If the matter escalates into a formal dispute, seek appropriate consumer or legal advice depending on the circumstances. The key point is that evidence is far more valuable than memory, and evidence you created at the time of collection is far more credible than anything created after the fact.
Frequently Asked Questions About Hiring a Car at Málaga Airport
Should I photograph my hire car when collecting it from Málaga Airport?
Yes. It is a straightforward precaution that takes a few minutes and creates a permanent record of the vehicle’s condition at the point of collection. Given the frequency with which property owners and regular visitors to Marbella hire cars at Málaga Airport, it is worth making this a routine part of collecting the vehicle.
What should I photograph on a rental car at Málaga Airport?
Photograph all four sides of the vehicle, front and rear bumpers, all four corners, both wing mirrors, all four doors, bonnet, boot, roof, windscreen, all windows, all four wheels, headlights, rear lights and any existing damage in close-up. Also photograph the interior including dashboard, seats, centre console and boot, as well as the mileage and fuel level readings.
Should I take video as well as photographs?
Yes. A short walk-around video adds another layer of documentation that is difficult to dispute and shows the overall condition of the vehicle continuously rather than in individual frames.
What if the hire car already has damage when I collect it?
Photograph the existing damage even if it is already on the company’s condition report. If you notice damage that is not recorded, raise it with a member of staff before leaving and ask for it to be added to the condition report. Always take your own independent record.
Is returning a hire car out of hours a risk?
Out-of-hours returns mean there is no member of staff present when you hand the vehicle back. This makes the photographs and video you took at collection particularly important, as they may be the only documentation of the vehicle’s condition during your rental period.
Can smartphone photographs prove when I collected the vehicle?
Original photograph and video files typically contain metadata including the date and time the file was created. This is why it is important to keep original files unedited and not to rely solely on screenshots or copies. The metadata can help establish a timeline in the event of a dispute.
What should I do if a car hire company claims I damaged a vehicle?
Review your collection photographs and video, return photographs if taken, rental agreement, condition report and any correspondence. Compare the alleged damage with your documentation. If the damage was pre-existing and visible in your collection photographs, present that evidence to the rental company. If the matter becomes a formal dispute, seek appropriate consumer or legal advice.
Is this a common problem at Málaga Airport specifically?
Car hire disputes are not unique to Málaga Airport and can occur at any rental location. However, given the high volume of hire cars at Málaga and the number of property owners and regular visitors to Marbella who hire cars there repeatedly, being aware of this issue and taking simple protective steps is genuinely worthwhile.
